ASBMB Undergraduate Faculty Travel Award

The ASBMB will competitively award travel fellowships of $500 each to assist Undergraduate Faculty presenting an abstract at the ASBMB Annual Meeting in Anaheim. 

Preference is given to faculty advisors of ASBMB Undergraduate Affiliates Network (UAN) member institutions.

Part I: Guidelines

DEADLINE EXTENSION: Monday, November 9, 2009, 5:00 PM, Eastern, for all ASBMB Travel Award Applications and Abstract Submissions
Applications will be accepted online thru Wednesday, November 4, 2009.

All applicants must “Successfully Submit” an abstract to an ASBMB Topic Category and pay the $65 nonrefundable abstract submission fee, by the November 4, 2009 abstract submission deadline in order to complete a travel award/grant application.

Note: The abstract submission and travel award/grant application deadlines are both
November 4, 2009.

Abstracts must be submitted to an ASBMB Topic Category.  Abstracts submitted to other societies’ topic categories do not qualify and will be declined for an award.  You may return to the abstract submission site by November 4, 2009, and log in as a returning user to update your topic category selection if necessary.

Only abstracts with a status of “successfully submitted,” can be submitted as part of an application.  Abstracts with 'pending' or 'incomplete' status do not qualify and will be declined for an award.  A successfully submitted abstract means the $65 abstract submission fee has been paid.

The $65 nonrefundable abstract submission fee is required and cannot be waived by the ASBMB Office.  This fee is NOT your meeting registration which is a separate fee.

Applicant must be the first and presenting author of the abstract.  There are NO co-first authors.

Late-breaking abstracts cannot be accepted as part of a travel award application.

There are a limited number of awards in each award/grant category. All categories will be awarded competitively.  Child Care grant applications are evaluated based on need. 

Applicant may apply to only one travel award/grant category.  Applications received by the same applicant for multiple award/grant categories will not be accepted.  

When preparing your travel award/grant application, please have all required supporting documents available to upload at the time of application.  You will not be able to log back onto the site at a later time to finish an incomplete travel award application.  Specific documentation requirements and guidelines for this award/grant are detailed below.


Part II: Specific to this Award

U.S. residency is not required for this award.

Applicants must ‘Successfully Submit’ an abstract to an ASBMB Topic Category by the November 4, 2009 abstract submission deadline in order to complete a travel award application.

The following supporting documents are for Undergraduate Faculty Travel Award applicants ONLY and must be uploaded as a single Word document or PDF file during the online application process.

Course List: List of courses you teach and description of the student population

Attendance Objectives: 1-2 page statement explaining your objectives in attending the meeting and describing your plans for achieving these objectives once you return to your institution

Abstract: Copy of applicant’s ‘Successfully Submitted’ abstract


Part III: Notification/Communication

ALL communication regarding travel award/grant applications will be via the email address provided on the travel award/grant application.

Please set your internet spam filter to accept email messages from the asbmb.org and mirasmart.com domains.

Applicants will receive an email no later than November 30, 2009, confirming receipt of their application by the ASBMB Office.  This is a confirmation of receipt of application only, not an award notification.   If you do not receive a confirmation email by November 30, you may send an inquiry to meetings@asbmb.org beginning December 1st. 

Applicants will be notified via email of the disposition of their application no later than January, 31, 2010.  To expedite the communication process, we ask that you refrain from contacting the ASBMB Office prior to this date.  If you do not receive notification by January 31, you are strongly encouraged to contact the ASBMB at meetings@asbmb.org.


Part IV: Reimbursement

Survey: Recipients of the Faculty Travel Award are required to return a brief survey after attending the meeting. The survey will be provided to all recipients with their award notification.

Undergraduate Faculty Travel Awardees may claim up to a maximum of $500 in reimbursable travel expenses to defray meeting related travel costs. Qualifying expenses include: meeting registration, housing, transportation and meals. Original receipts must accompany all reimbursement requests.  Faxed or scanned copies cannot be accepted.

Note: The $65 nonrefundable abstract submission fee does not qualify for reimbursement. 

Reimbursement is distributed by the ASBMB Office in Bethesda, MD, following recipients’ participation in the meeting. No travel award funds are distributed prior to the conclusion of the meeting and no funds are distributed on-site in Anaheim. Reimbursement takes approximately 4-6 weeks to process following receipt of documentation. 

Specific instructions will be provided to all award recipients with their notification.



Part V: Poster Competition Judges

The ASBMB Undergraduate Student Research Poster Competition Organizing Committee is seeking faculty members to volunteer as judges for the competition on Saturday, April 24, 2010. You must be available to arrive at the meeting to attend a Judges Orientation Session beginning at 11:30 AM on Saturday, April 24, 2010.  Lunch will be provided.

You will not be asked to judge poster presentations by students from your institution.

No special weight will be given to any travel award application regardless of whether or not an applicant elects to volunteer as a judge.

Part VI: Application
